The Role

The Administrative Assistant to the Senior Vice President (SVP) will provide comprehensive administrative support, handle communication with internal and external stakeholders, and assist with project coordination and management.


Responsibilities


Administrative Support & Communication and Liaison:

  • Act as a primary point of contact for the SVP, handling inquiries and requests.
  • Manage calendaring, scheduling of appointments, and coordination of meetings.
  • Liaise with internal and external stakeholders on behalf of the SVP when requested.
  • Handle incoming and outgoing communications (phone calls, emails, correspondence).
  • Prepare and distribute meeting agendas, minutes, and reports.
  • Manage travel arrangements, including flights, hotels, and transportation, and for leadership team when required.
  • Draft and edit correspondence, presentations, and other materials.
  • Manage expenses and invoices.


Project Support

  • Assist with research, analysis, and preparation of reports and presentations.
  • Track progress on projects and ensure deadlines are met.
  • Support in preparation for meetings and presentations.


Requirements

  • Minimum 10 years of administrative and secretarial experience
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • High attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Ability to anticipate needs and proactively address them
  • Proficiency in Mandarin to liaise with Chinese business counterparts.
