We are looking for a Team Administrator who keeps everything organised, helping to ensure the team operates efficiently and effectively. You are adaptable, proactive, detail-oriented, and comfortable to handle various tasks that come your way.
The ideal candidate will be highly organised, able to prioritise tasks, and have excellent communication skills. You will play a key role in facilitating the smooth operation of the team by handling administrative tasks, scheduling, coordinating projects, and supporting team members.
Responsibilities
- Provide administrative assistance to the team, including scheduling meetings, managing calendars, arranging travel, and preparing reports and presentations.
- Facilitate communication between team members, departments, and external parties (as needed).
- Organise and coordinate team meetings, ensure agendas are prepared, and keep track of follow-ups. Assist with project coordination and track project milestones.
- Maintain and organise team files, records, and documents (both digital and physical). Ensure all documentation is up-to-date and accessible.
- Coordinate travel arrangements for team members as needed.
- Proactively identify challenges within the team and work to raise and resolve issues before they escalate.
Requirements
- Education: Diploma in Business Administration and any related course of studies
- Experience: At least 5 years of administration experience
- Specialised knowledge/Skills and Abilities: Microsoft Office (Words, Excel, PowerPoint), good written and communication skills, attention to detail with good analytical capability and reasoning abilities, ability to handle multiple tasks, good initiative, requiring discretion, confidentiality, a good understanding of technical and business vocabulary
- Proven experience as a Team Administrator, Executive Assistant, or in a similar administrative role.
