Job Responsibilities
- Answer incoming calls and respond to email promptly.
- Collect payment and issue receipts.
- Collect donation (Gifts & Cash).
- Prepare client case file (New Admission).
- Transfer client documents from case file to discharge file (Discharge).
- Data Entry into required portals for admission and discharge of clients.
- To received stationeries form from relevant stakeholders with their HOD approval to send for overall approval.
- Liaise with Procurement to source for quotation.
- Liaise with vendors for client's related services.
- Ensure accuracy of invoices.
- Ensure the client attendance are marked accurately and regularly.
- Assist to apply leave and medical claims for staffs in E-Portal.
- Plan for transport route after consulting the drivers (if necessary) and print out weekly transport list for drivers.
- Plan for driver replacement (if necessary).
- Generate client attendance & escort service report monthly.
- Ensure all the cleaning documents and checklist are filled up.
- Provide assistance to SLC & MSS team for better efficiency.
Requirement
- Minimum 'O' Levels
- Proficient in Microsoft Office Suites (e.g. Excel, PowerPoint, Word)
- Good communication skills in English (spoken and written), strong organizational skills and detail-oriented
- Able to work independently and also a team player

- Stress Tolerance and able to Multi-Task:
- Working at the front desk can be stressful, especially when dealing with admin tasks and juggling incoming requests from phone inquiries or over the counter inquiries. The ability to remain composed and not become flustered is important as well as ensuring all tasks and inquiries are handled promptly and accurately
- Attention to Detail:
- Accuracy is vital, particularly when dealing with scheduling for the drivers, handling sensitive matters for the clients such as ordering of their meals. Small errors can lead to significant issues, so a keen eye for detail is essential.
- Technical Proficiency:
- Familiarity with office software (like Microsoft Office Suite and email systems) is essential.
- Teamwork and Collaboration:
- Working well with others is essential since the front desk often interacts with various departments. Being a reliable team player and effectively communicating across departments ensures smooth coordination.
