Admin Executive (Safety)
We are seeking an organized and proactive Admin Executive (Safety) to provide administrative support to our Safety department. The incumbent will be responsible for managing safety-related documentation, coordinating training schedules, maintaining compliance records, and supporting safety initiatives through data entry, report generation, and communication. The role also includes serving as the primary point of contact for general safety inquiries across the organization.
Responsibilities:
- Serve as the first point of contact for general health & safety inquiries via phone and email, liaising with relevant staff and advising accordingly.
- Organize, record, and acknowledge health & safety meetings, track actions, and monitor progress on safety-related issues.
- Coordinate and oversee health & safety audits, inspections, and ensure timely distribution of reports.
- Maintain all safety-related information in a confidential manner, ensuring adherence to the Personal Data Protection Act (PDPA).
- Provide administrative support to the Health & Safety department, including maintaining certifications, safety documents, and generating health & safety reports when required.
- Update and manage data in the online health & safety repository.
- Coordinate, monitor, and schedule health and safety training programs.
- Assist the Health & Safety Manager during site visits as required.
- Carry out all tasks in alignment with the company’s Health and Safety policies and procedures.
Requirements:
- Minimum O level or higher Nitec
- Minimum 2 years of relevant experience in an administrative role within a safety department or related field.
- Possession of an Advance Certificate in Workplace Safety and Health (Level B) and/or Fire Safety Manager (FSM) certification is an added advantage.
- Strong administrative skills with proficiency in Microsoft Office Suite(Word, Excel, PowerPoint).
- Knowledge of workplace safety regulations and best practices.
- Excellent communication and interpersonal skills to interact with employees at all levels.
- High attention to detail and ability to maintain accurate records.
- Ability to prioritize tasks and meet deadlines.
- Open to Singaporeans/SPR only
