[What you will be working on]
- Oversee stocktake of NLB collection and manage the Heritage collection, including legal deposit, newspapers and microfilms, ensuring the safety and security of the items in temperature and humidity-controlled rooms.
- Review and update the stocktake policy and warehouse management guidelines so that they remain relevant, while ensuring smooth and seamless operation of the warehouse.
- Collaborate with stakeholders for effective execution of warehousing operations to support donations, heritage collection, library services/projects and stocktaking.
- Lead, manage and train the team to ensure organisation’s outcomes.
- Manage and resolve internal operational issues escalated by staff and ensure good working relationships with departments and divisions.
- Oversee vendors’ compliance by managing, monitoring and tracking performance to ensure adherence to NLB’s service standards.
- Supervise and ensure training of vendors and service partners, including performing regular communications to update NLB practices and needs.
- Plan and establish optimised processes with vendors, including performance tracking measures and feedback platforms.
- Support the preparation of business case, tender specifications, recommendation reports, and other documents related to procurement activities.
- Plan and manage budgets for specific projects and monitor budgets expenditure and commitment report.
- Manage vendors’ activities and ensure contract compliance and compliance to finance and audit requirements for payment of the services rendered.
- Prepare project updates and reports, analyse, review and approve progress and statistical reports.
- Preferably with relevant experience in warehouse management
- Knowledge in procurement and tenders would be an added advantage
- Good communication skills and command of English (writing and speaking)
- Good grasp of Microsoft Excel
- Strong team player and good networking skills
- Meticulous, analytical and strong co-ordination skills
